This topic is organized into the following sections:
eRoom 7 can log sessions and usage statistics in a site-wide usage database and provide Web-based administrative reports. You can also export the usage reports as comma-separated Excel spreadsheets. For explanations of how eRoom 7 defines various usage events or items for usage reporting purposes (for example, a "visit," a "moved room," or a "deletion"), refer to the Definitions section in this topic.
In addition, you can use charting software or other tools to further analyze usage data. Refer to the usage report schema tables for information helpful for such analysis. These tables also provide definitions for the column headings in the eRoom-generated usage reports.
In order to generate usage reports, you must enable usage logging. eRoom can then generate usage reports based on the logged site usage data.
Go to the Usage Reports page of Site Settings.
Make sure the "Log activity at this site" check box is selected.
Specify how many weekly logs you would like to keep.
You can clear the usage logging database of all existing logs.
Go to the Usage Reports page of Site Settings.
Click the "clear the site usage database" button.
Confirm the action.
You can generate usage reports for a given date range and eRoom scope (Servers, Communities, Rooms, or Members), based on the usage report logging you have enabled.
Go to the Usage Reports page of Site Settings; for a particular community, go to the Usage Reports page of Community Settings.
Click the "usage reports" button.
On the Usage Reports page, specify a scope for the report you would like to display: for a site, either "Servers", "Communities", "Rooms", or "Members"; for a community, "Communities", "Rooms", or "Members".
Specify the filtering options for the report.
Click the "display" button to generate and display the report.
When you generate a usage report on rooms, you can then generate a detailed report on any room that has had visitors. The report shows such information as the number of visits, creations, deletions, edits, etc.
Go to the Usage Reports page of Site Settings.
Click the "usage reports" button.
On the Usage Reports page, specify "Rooms" as the scope for the report.
Specify the filtering options for the report.
Click the
"display" button to generate and display the Rooms usage report.
In the resulting report, each room that has had visitors during the
reporting period has a "faces" icon in the "Visitors"
column.
Click the "faces" icon in the "Visitors" column of the room for which you want to generate and view a more detailed report about the visitors it had in the reporting period.
When you generate a usage report on members, you can then generate a detailed report on the rooms a particular member has visited. The report shows such information as the room and community name, number of visits, creations, deletions, edits, etc.
Go to the Usage Reports page of Site Settings.
Click the "usage reports" button.
On the Usage Reports page, specify "Members" as the scope for the report.
Specify the filtering options for the report.
Click the
"display" button to generate and display the Members report.
The resulting report lists site members according to your filtering
options. Each member that has visited a room during the reporting period
has a number in the "Room visits" column.
Click the number (>0) in the "Room visits" column of the member for whom you want to generate and view a detailed report on the rooms they visited in the reporting period.
You can export a usage report you display to a comma-separated Excel spreadsheet.
Once you have displayed a report, click the "export" link at the bottom of the Usage Report.
Click the filename link to open or save the exported file.
This section explains how eRoom 7 defines and logs various usage events or items for usage reporting purposes (for example, a "visit," a "moved room," or a "deletion").
Attribution of programmatic events -- Events such as object creation or deletion are attributed to the account that is used to perform the operation. Sometimes, the account that performs such operations is the internal Administrator account. This account can be included in the sum of visitors to an eRoom and can be shown in a separate "Administrator" row in the Visitors to Room report. Operations performed by the eRoom Monitor or Notifier are not logged.
Deleted items -- If an item with sub items is deleted (for example, a folder that contains notes), all items are counted as deleted items, not just the containing item. Restorations of deleted items from the recycle bin are not logged, nor is deletion of an item from the recycle bin.
Edited items -- Only changes to an item's contents are logged as edits; changes to item metadata -- such as an item's access control list or icon -- are not logged.
Moved rooms -- If an eRoom is moved between servers or communities, usage reports show it as located wherever it resided at the end of the reporting period.
Object names -- Usage reports show the current names of servers, communities, eRooms, and members, even if they were renamed during the reporting period. If you have some doubt about the identity of an eRoom or member, you can view the eRoom's front page or member's information page by clicking its name in the usage report.
Room visit -- An eRoom visit begins when a member navigates to any object in an eRoom. The visit ends when no interactive browser hits are detected within the room for 15 minutes.
